Zoho One pricing in Australia: what you really pay in AUD

Zoho One's headline price looks almost too cheap. Here's how the All-Employee and Flexible User models really work, what teams of 8, 25 and 40 people actually pay, and the costs that sit outside the licence.

Zoho One pricing in Australia: what you really pay in AUD

The two pricing models

Zoho One is sold two ways, and which one you're on changes the maths a lot. The figures below are approximate AUD rates for annual billing as of September 2026. Zoho adjusts prices and exchange rates from time to time, so confirm them on the Zoho One pricing page or with a partner, and check whether GST gets added at checkout.

How Zoho One is licensed

  • All-Employee

Around $53 per employee per month, billed annually. The catch is that you have to licence everyone on your payroll, including people who'll barely log in.

  • Flexible User

Around $132 per user per month, billed annually. You only licence the people who actually need it, and there's no minimum.

Monthly billing costs more on both plans. Most businesses move to annual billing once they're confident it's the right fit.

What it costs in practice

Here are a few typical Australian teams, using annual billing and approximate figures before GST.

Worked examples

  • 8-person consultancy where everyone uses it

    All-Employee: 8 × $53 is about $424 a month, or roughly $5,100 a year. Flexible would be about $1,056 a month. All-Employee wins easily.

  • 25-person trades business with 8 office users

All-Employee: 25 × $53 is about $1,325 a month. Flexible for 8 users: 8 × $132 is about $1,056 a month. Flexible is cheaper here, unless you also want field staff in the apps.

  • 40-person business with 20 heavy users

All-Employee comes to about $2,120 a month, against about $2,640 for Flexible. All-Employee wins, and everyone gets access as a bonus.

A handy rule of thumb: if more than about 40% of your staff will use Zoho, All-Employee usually comes out ahead. Below that, Flexible is often cheaper. Count properly, though. Casuals and part-timers on payroll usually still count as employees under the All-Employee model.

Zoho One isn't cheap because it's discounted. It's cheap because it replaces four or five other subscriptions, and that's only true if you actually cancel them.

Costs outside the licence

What the price page doesn't show

  • Implementation

Through a partner, a focused Zoho CRM and Books setup for a small business commonly costs $4,000 to $12,000. Wider Zoho One rollouts with migration and integrations often run from $15,000 to $50,000 or more.

  • Payroll

Zoho Payroll isn't available in Australia, so budget for a separate STP-compliant payroll product.

  • Add-ons and limits

Extra storage, higher usage limits and credits for things like SMS can all cost extra.

  • Admin and support

Someone has to own the system after go-live. That's either an internal admin's time or a monthly support arrangement.

  • Training

This is nearly always underestimated. A few hours per team, per app, adds up quickly.

Is it worth it compared with buying apps separately?

Add up what you pay now for CRM, email marketing, help desk, forms, project management, e-signature and maybe accounting. For many Australian SMEs, that's already well over $100 per person per month spread across different vendors. If Zoho One genuinely replaces most of those, the saving is real. If you'd only use CRM and Books, individual licences may well be cheaper.

Get a quote based on your real headcount and usage, then write the decision down: which apps you'll use, which current tools you'll cancel, and by when. That one page is what turns a cheap licence into an actual saving.
